Workspace365 offers the latest in flexible workspaces and coworking desks. The objective of the space is to provide our members, their teams, clients, staff and guests with a mixture of both professional and casual environments to suit their businesses.
To ensure that the space is enjoyed by all, we ask our members and guests to please refer to the following rules/guidelines for our Community. These guidelines are designed to create a respectful, inclusive, and productive environment for all in our Community:
1. Respect Personal Space:
- Keep noise levels at a reasonable volume to avoid disturbing others.
- Use headphones for music to minimise disruptions.
- Video calls should be held in a phone booth or meeting room, unless headphones are being used.
- Respect others' designated work areas and belongings.
- Dedicated Desks are specifically identified and are private work areas, casual seating is not allowed in these areas.
- Flexi Desk areas are available for day use, please respect member’s privacy when they’re in use.
- Please avoid phone conversations in the hallways, as it may cause disruptions to others.
- There are designated areas for you to take your calls if required.
2. General Cleanliness:
- Clean up after yourself in common areas and shared facilities.
- Avoid leaving food, rubbish, or personal items in shared spaces.
- Keep your workspace reasonably tidy.
3. Reception Waiting Area:
- The reception area is not a place to hold meetings. This area is designed to meet and greet clients.
- Any newspapers/magazines/books should not be removed from the tables as they are provided for clients and visitor use.
- Feet should not be put up on the lounge chairs, and furniture in this area must not be relocated or removed.
4. Kitchen/Breakout Areas:
- The breakout kitchen is available to all our members, clients, staff and approved guests.
- Please assist us by keeping our kitchens clean and tidy.
- Rinse and place dirty cutlery and bowls into the dishwasher or designated area after use.
- The furniture in the breakout and kitchen areas must not be removed.
5. Business Lounge:
- The Business Lounge is an area for working quietly and relaxation.
- Your Workspace365 Centre Team will be able to show you the designated Business Lounge area locations at your Centre.
- Avoid using speakerphone or engaging in loud conversations, please use dedicated areas for calls or book a meeting room.
- Please respect our furniture by not placing your feet on the lounge chairs or tables.
- Furniture in this area must not be relocated or removed.
- Fair use policy applies.
6. Flexi Desks area:
- These desks may be booked via our portal or booked by our Centre Team when required, they are a chargeable service and can be booked on a daily or monthly basis.
- Furniture in this area must not be relocated or removed.
7. Meeting Rooms:
- Meeting rooms are bookable for a minimum of 30 minutes and a maximum duration of 8 hours.
- A booking must be made via the portal or through our Centre Team before making use of the space.
- Meeting rooms should be left clean after use e.g. whiteboards should be left clean, and furniture, markers and equipment should not be removed.
- Members, their teams, clients, staff and guests will be held responsible for any items that they or their visitors damage or go missing, both in the meeting rooms and throughout the Centre.
- Furniture in this area must not be relocated or removed.
8. Personal belongings:
- We recommend that you don’t leave your personal belongings such as laptops or mobile phones unattended.
- Please ensure all your personal items are within your dedicated office area.
- Please ensure whenever you are out of the office that your items are secure / office door is locked
9. Heaters:
- Heaters are not to be used in any offices/meeting rooms or anywhere in the Centre as it interferes with the air conditioning sensors. These sensors detect and balance the temperature throughout the floor.
10. Be Mindful of Others:
- Use meeting rooms or phone booths for private or extended conversations.
- Avoid using speakerphone or engaging in loud conversations in open areas.
- Be aware of cultural differences and practice sensitivity and inclusivity.
11. Collaboration and Networking:
- Encourage a friendly and supportive atmosphere for networking and collaboration.
- Offer help or guidance to others if you can do so.
- Seek permission before joining someone else's work or conversation.
12. Internet Usage:
- Limit bandwidth-intensive activities to non-peak hours.
- Avoid streaming large files or downloads that could slow down the internet for others.
13. Adhere to Co-Working Space Policies:
- Familiarise yourself with the specific rules and policies of the co-working space, as per your Agreement.
- Respect any restrictions on the use of facilities and/or equipment.
- ‘Fair use’ rules apply
14. Safety and Security:
- Keep entry doors closed and locked when necessary to ensure security.
- Report any suspicious activity or safety concerns to the management.
- Do not enter private offices or private spaces without permission from the member or Workspace365 team member.
- Accessing or attempting to access any members network or devices is a breach of our Community Guidelines and we reserve our right to suspend or terminate Membership as a result of such a breach. We also reserve our rights to take further actions if we deem necessary.
15. Respect Personal Boundaries:
- Avoid engaging in aggressive or disrespectful behaviour towards others.
- Refrain from using offensive language or making inappropriate jokes.
- Respect cultural differences and practice sensitivity and inclusivity.
- We are an egalitarian organization and as such do not condone any disrespectful behaviour in relation to; political beliefs, religion, race, and sexual orientation.
- We maintain a zero-tolerance policy towards sexual harassment.
- All members and employees are expected to always conduct themselves with respect and professionalism.
- Reports of sexual harassment will be promptly and impartially investigated.
- Actions, including suspension or termination of Membership, may result from substantiated claims of sexual harassment.
16. Events and Gatherings:
- Coordinate with the co-working space management before organising events.
- Ensure events do not disrupt others' work and follow any guidelines set by the management.
17. Feedback and Conflict Resolution:
- Provide constructive feedback to the co-working space management for improvements.
- Address conflicts or issues with fellow co-workers calmly and respectfully.
18. Be Responsible and Eco-Friendly:
- Use resources wisely, such as electricity and water.
- Recycle or dispose of waste properly.
19. Pets – (only applicable to those locations who enable Pets to be onsite):
- Pet parents who want to bring their pets to work must agree to our Pet Policy, refer to your applicable Centre for which this applies.
- Concerns related to pets should be raised with the pet parent or with your onsite Workspace365 team member.
All members, teams, clients and guests are required to agree to these guidelines to ensure a harmonious and inclusive environment for members and guests in the co-working space.
Breaches of these guidelines may result in a warning, suspension of Membership or termination of Membership.
Regular reminders and periodic review of these guidelines can help reinforce positive behaviour and maintain a welcoming atmosphere for all our members, clients, and guests within our Community.
